New service businesses lose money when they price only delivery time, omit revisions and third-party costs, quote without an expiry date, ignore tax treatment, begin without a deposit where risk exists or add extra work without approval. A useful quote shows what is included, excluded, due and payable before work starts.
A low quote can win a client and still damage the business. If the price does not cover the work, revisions, admin, tax treatment and delivery costs, the job funds activity without funding growth.
1. Pricing only the visible work
Include briefing, research, project management, client calls, revisions, travel, delivery and payment follow-up where they are part of the job. If you do not price that time, it becomes unpaid work.
2. Leaving revisions open-ended
State the number of revision rounds included. Define how extra revisions are priced. Clients benefit from clarity too: they know when a new idea changes the agreed job.
3. Hiding third-party costs
Hosting, stock images, delivery, materials, subcontractors and paid tools may sit outside your base fee. Say whether they are included, estimated or billed separately. Do not discover them after the client accepts the price.
4. Ignoring the date
Give the quote an expiry date when prices, supplier costs or your availability can change. A quote sent in September should not bind you to the same price six months later without a fresh discussion.
5. Guessing tax treatment
Do not add VAT because a client expects to see it, and do not omit a tax field because another supplier does. Check your registration status and the rules that apply to the transaction. A professional-looking PDF cannot fix the wrong treatment.
6. Doing extras before approval
When the client expands the brief, send a revised quote or written price first. The original quote protects both sides only if the work stays within it.
